An application captures the specific service that a client has agreed to pursue. Whether it's a university admission, visa processing, or a language test registration, once a client commits to a service, it is recorded as an application.
Each application is structured with clearly defined workflow stages, allowing teams to visualize the client's progress and take relevant actions at the right time.
In Agentcis, each application is assigned one of three distinct statuses that represent the overall state of the application. These statuses help users organize, filter, and manage applications more effectively by giving a quick overview of whether an application is ongoing, successfully completed, or no longer being processed.
The current status of an application is clearly visible in two key areas:
Application List under the Client Profile – This provides a summarized view of all applications linked to a specific client, including their status, making it easy to monitor multiple services at a glance.
Application Detail Page – This offers a more in-depth view, where you can see the status along with all the application’s specific actions, history, and related information.
Types of Application Statuses in Agentcis
In Progress refers to any application that is currently active and being worked on. This means the application has been created and is moving through its workflow stages, but it has not yet reached completion or been discontinued.
For example, if a client has applied for a university program and the admission process is still ongoing—such as document submission, communication with the partner, or visa processing—the application remains in In Progress status.
This status is typically applied by default when a new application is added and remains until a user manually marks it as completed or discontinued.
2. Completed
An application is marked as Completed when it has successfully gone through all necessary stages and the service has been fully delivered. This might include outcomes such as:
A student has been enrolled in their desired institution
A visa has been approved and issued
The client has received the final deliverable for the service they purchased
Marking an application as Completed helps clearly indicate that no further actions are needed and allows your team to focus on active or new cases.
3. Discontinued
The Discontinued status is used when an application is intentionally stopped and will not be processed any further. This can happen for a variety of reasons, such as:
The client withdraws their interest
The service is no longer relevant or needed
The application is found to be ineligible partway through the process
The client decides to switch to a different service
Even though the application won’t proceed, keeping it marked as Discontinued (rather than deleting it) ensures proper record-keeping and helps maintain a full history of client interactions.
Using statuses makes it easy to segregate and prioritize applications based on their current progress, helping teams stay focused and organized while managing a large number of clients and services.
